FAQ: BEFORE & AFTER SCHOOL CARE

ENROLMENT 

I am a new parent and I want to know how to enrol?

Enrolling your child in our programs is simple!  You can choose to complete an online enrolment form or drop off a hard copy at the school’s office.  You will receive confirmation of enrolment within 24 hours. We would encourage all families to enrol their child in the event that care may be required in the future.

Do I need to re-enrol each year?

No. However, you will need to notify us as early as possible if there have been any updates to your contact information, emergency contacts, account details or your child’s health.  We will contact you towards the end of the school year to see if there will be any changes to your enrolment/booking for the following year. 

BOOKING

What are my booking options? 

Families have the option of permanent or casual bookings. Reduced fees are available for permanent bookings that repeat from week to week throughout the year. Casual bookings are available at any time up to and including the day of care.

How do I make a booking?

You will need to book in advance to reserve your child’s place in our program.  Bookings can be made by calling our Head Office on 1300 366 235. We require 24 hours notification of your booking or as early as possible on the day.  

How can I cancel a booking?

You can cancel a booking by contacting our Head Office on 1300 366 235.  No charge will be incurred for the session if we are notified of the cancellation prior to the commencement of a session.  Cancellations without notifying our Head Office will attract a session fee.

I want to book my child into care today, what do I need to do?

You can book your child into After School Care at any time up until 3pm by contacting our Head Office on 1300 366 235.  We will liaise with the school to ensure that your child is informed that he/she will be attending After School Care.  This booking will incur an additional charge and places cannot always be guaranteed.

CHILD CARE BENEFIT (CCB) & CHILD CARE REBATE (CCR)

How do I find out if I qualify for the Child Care Benefit or Child Care Rebate?

Contact the Family Assistance Office (FAO) on 13 61 50 to find out if you qualify for Child Care benefit and/or Child Care Rebate (CCR).  These reduce the cost of childcare by 50% or more and are available to almost all parents. Call the Family Assistance Office on to find out more.

CHILDREN WITH MEDICAL CONDITIONS

My child has a medical condition – what documentation do I need to provide?

If your child has a medical condition such as asthma or anaphylaxis, you need to speak to provide a medical management plan signed by your child’s doctor. We will create a risk minimisation plan with you based on your child’s medical management plan to identify and reduce possible risks to your child’s health when attending a program.

COURT ORDERS, PARENTING ORDERS OR PARENTING PLANS

How can I ensure that you will uphold any custody arrangements that I might have in place?  

We will require a copy of any applicable Court Orders, parenting orders or parenting plans. We will need to sight and attach the relevant documentation to the child's enrolment records.  All information is treated confidentially and with sensitivity.  Should any change to the Court Orders, parenting orders or parenting plans, we will require that you notify our Head Office promptly. Where a court order, parenting order or parenting plan has been provided, we will ensure all necessary Educators are aware the orders are in place. If an attempt is made to breach orders, the parent/guardian with custody entitlements will be contacted immediately. The police will also be called.

EDUCATIONAL PROGRAM & ACTIVITIES

What activities are provided? 

We provide a variety of structured and unstructured activities.  Our activities are tailored to suit the age group of children in the program and encourage interaction, independence and team cooperation.  Our daily programs are flexible which allows our educators to engage children in creative and unplanned activity.  

FOOD AND SNACKS

Do you provide food in before and after care? 

Yes. We provide food for both our before and aftercare programs.   A healthy breakfast is provided during before care and an afternoon snack is provided during after care. 

HOMEWORK SUPPORT

Can my child do homework in after care?

Yes. We allocate a quite space for children to do their homework and offer assistance when required.  Please note; we do not run a supervised home-work club, however, we are happy to accommodate for children wish to do their homework in aftercare. 

SEPARATE ACCOUNTS

I am separated from my partner; can we have separate accounts for my child?

We will work with you to find a solution to meet your needs. We will require each partner who has a separate financial responsibility for the child (or children) to have their own account and enrolment.  Please note that Leapkids has strict requirements around signing children in and out of a service. Only authorised nominees (18 years of age) are permitted to leave with the child if safety, parental wishes, and custody requirements are adhered to.

LATE COLLECTION OF CHILDREN

What do I do if I am running late to pick up my child?

Please contact our Head Office on 1300 366 235 at early as possible before  closing time. This will ensure that our staff can inform your child early that you are running late and will avoid any unnecessary worry for the child.  Late fees will apply at $2.00 per minute after closing time. 

PAYMENT AND FEES

What are your fees for Before and After School Care?

Fees for Before School Care (BSC) are $13.00 for permanent bookings and $15.00 for casual bookings.  Fees for After School Care are $18.00 for permanent bookings and $20.00 for casual bookings.  For more information on our fees, please contact Head Office on 1300 366 235. 

How much will I be paying for Before & After School Care?

Most families will be eligible for Child Care Benefit (CCB) and/or Child Care Rebate (CCR).  Out of pocket fees will vary for different families depending on CCB and/CCR entitlements.  Most families will have a reduction in their fees due to the non-income tested Child Care Rebate (CCR). 

Do you charge by the hour or per session?

Our fees are charged by the session.  Fees are set with the total duration of each session considered (eg. The total fee for an After School Care Session, from 3.30pm-6.00pm is $18.00 for permanent and $20.00 for casual bookings).

How does your service invoice families?

Invoices are billed fortnightly. The amount will be debited from your nominated account.  Invoices are sent electronically to your nominated email address.

How do I pay my fees?

All fees will be made via direct debit fortnightly from your nominated account.  Direct debit information must be provided with your enrolment prior to the commencement of care.

How do I receive or view my statement?

A statement of attendances and fees will be emailed to you each fortnight that your child is in care. If you have any questions relating to your child's attendance, when statements are issued or due, or how to read your statement, please contact our Head Office on 1300 366 235.

Why do you charge a late charge of $2 per minute after closing time?

After our closing time for After School Care, a fee of $2 per minute will apply to cover staff costs and resources.  

What if I am experiencing difficulty with payments?

Should you be experiencing any difficulty with payments, please contact our Head Office at your earliest on 1300 366 235 to discuss possible payment arrangements. 

FAQ: SCHOOL HOLIDAY PROGRAM 

How do I book into Leapkids school holiday program?

Booking your child or children into our holiday program is simple! You can choose to complete all your enrolment/booking online, or if you prefer, you can email your completed enrolment form to This email address is being protected from spambots. You need JavaScript enabled to view it.  

Can I still book my child after the booking deadline?

Yes, we may still accept bookings after the booking deadline provided we have vacancies, however, please note that places do fill up very quickly, especially on excursion days, so we encourage you to book as early as possible to secure a place for your child.  

Can I book my child over the phone?

No. We do not accept phone bookings. All bookings must be submitted on the enrolment form for new families and on the booking form for returning families, prior to the start of the program. You may be able to book additional days after the program has commenced, provided we have vacancies on the days required. 

When will I receive confirmation of my holiday booking? 

You will receive confirmation of your booking within 48 hours. 

How much will I be paying for holiday care?

How much is your daily fee?

Our set fees include $55.00 for a Standard Day (non-incursion/excursion), $65.00 for incursion day and $75 for excursion day.  No additional fees will be charged for excursions.  $10.00 administration fee will apply to all new enrolments and bookings per program.

How do I pay for my holiday program bookings?

All fees for our holiday bookings must be payed up-front.  The total fees for your bookings will be debited from your nominated bank account prior to your child’s attendance.  We will email your invoice with payment options prior to your child’s attendance. 

What age group does your holiday program cater for?

All our holiday program activities are developed for primary school aged children.  Our activities are based on the children’s interest and tailored to cater for varying ages and abilities.  We provide daily structured activities as well as unstructured activities.

What does my child need to bring with them to your holiday program?

Your child will need to bring with them several items each day including a snack, packed lunch, water bottle, suitable clothing, hat for summer program, suitable footwear (no thongs) and an art smock or clothing suitable for painting, art or messy activities.  

Can my child still attend your holiday program if they don’t attend the actual school?

Yes. All our holiday programs are open to primary school aged children.  We accept children from all areas across Victoria. 

How do I find out excursion details?

Refer to the program schedule to see specific bus departures and returns.  On the day before an excursion, our staff will remind you of specific times for bus departures and returns, as well as anything else that your child may need to bring with them to the excursion.

How do I contact your service?

We have a dedicated mobile number at each specific service.  Please obtain this number from the Team Leader on your child’s first day of the program and save it to your phone for easy access. This mobile number will only be answered during operational hours.  If you need to contact us after the operating hours, you will need to contact our Head Office on 1300 366 235.  

Do you provide food in your holiday care programs? 

Yes. We provide a variety of fruits and a healthy and nutritious afternoon snack daily.  The children are also involved with preparing and cooking their afternoon snack–which makes their afternoon snack all the more satisfying to eat! Please note; children will still need to bring morning tea and a packed lunch.
